Workflow automation & practical AI

Workflow automation.
Practical AI tools.

I build tools for small to midsize businesses to sort enquiries, capture records and prepare reports. We decide which steps run automatically and which need a person to check them.

What I build

Email, records
and connected tools.

Examples from tools I build and run for my own work:

01 / Intake

Incoming email and enquiries

Tools that sort incoming email and other enquiries, flag missing information and draft replies for a person to check. Nothing goes out on its own.

02 / Capture

Photo-to-record capture

A photo becomes a structured list that a person checks and edits before it's saved. The same pattern can work for counts, receiving slips and labels.

03 / Connections

Connected workflows

Automations that move information between the tools you already use to reduce repeated data entry.

Business workflow automation

Connect forms, records
and reminders.

Repeated data entry, manual reminders and reports assembled from several files can take time away from running the business.

A project might connect a form to your records, prepare a weekly report or send task reminders. We test it with your team before putting it into use.

If the process itself needs attention, we start with business process improvement. The work can use existing software, a simple automation or an AI-assisted workflow.

Work can include

  • Moving information from forms into working records
  • Reducing duplicate entry between existing tools
  • Preparing recurring reports and review reminders
  • Drafting or organising information for human review

Testing, access, exception handling and ongoing ownership are agreed as part of the project.

Before building

Check the process.
Then choose the tool.

I start by looking at the task, the available information and the people responsible for the result. A clearer handoff or better use of existing software may be enough.

If AI is appropriate, I define the review step, limits and ongoing owner as part of the implementation scope. Complex integrations or specialist security work need an appropriate specialist; I can help define the requirements and coordinate that work within an agreed scope.

Agree on the boundaries

  • Inputs, data permissions and source access
  • What the workflow may and may not do
  • How outputs are checked and corrected
  • Testing and acceptance criteria
  • Training, handover and ongoing ownership

Practical questions

Questions about AI and automation.

Can you automate a workflow without AI?

Yes. Rule-based automation can move information, trigger reminders or prepare a report using existing tools. A clearer form, spreadsheet or software setup may also be enough. I recommend an approach after understanding the task.

What if the process itself needs fixing?

I start there. Unclear decisions, missing information and poor handoffs can make automation add work. The review checks whether a simpler change should come first.

Who checks the result?

The scope identifies the responsible person, the outputs they review and how errors are corrected. Human review is part of the workflow.

What happens to business information?

Before choosing a tool, I agree with you what information it needs, who may access it and which provider or system would process it. Testing uses suitable sample or approved data.

Let’s talk

What would you
like help with?

Describe the process, product or project. We’ll discuss whether I can help.
